4. Client Responsibilities

Clients are responsible for:

  • Providing accurate business information

  • Reviewing and approving workflows, messaging, automations, and system configurations

  • Ensuring their business practices comply with applicable laws

  • Maintaining required licenses, permits, insurance, and regulatory compliance

  • Training their staff on how to use systems we create

  • Monitoring communications sent through automated systems

  • Honoring customer opt-outs, unsubscribe requests, and communication preferences

  • Reviewing all AI-generated, automated, or system-generated content before relying on it for sensitive decisions

SentinelOps Group is not responsible for a client’s misuse of systems, failure to comply with laws, or failure to properly supervise automated tools.

5. Third-Party Platforms

Our services may involve third-party platforms, including but not limited to CRM systems, phone systems, email providers, SMS providers, website platforms, AI tools, calendar systems, payment processors, and workflow automation platforms.

Examples may include platforms such as GoHighLevel, Twilio, Google Workspace, Squarespace, Zapier, Make, OpenAI, or similar services.

You understand that third-party platforms are governed by their own terms, policies, pricing, uptime, functionality, and compliance requirements. SentinelOps Group is not responsible for:

  • Third-party outages

  • Platform pricing changes

  • Feature changes

  • Account suspensions

  • Delivery failures

  • SMS/email carrier restrictions

  • AI platform limitations

  • Data handling by third-party providers

  • Compliance requirements imposed by third-party services

Clients may be required to maintain their own subscriptions or accounts with third-party providers.

6. SMS, Email, and Call Automation

If we help create SMS, email, call, voicemail, or automated communication systems, the client is responsible for ensuring that such communications comply with applicable laws and industry rules, including consent, opt-out, recordkeeping, and marketing communication requirements.

Clients are responsible for obtaining proper consent before contacting leads, customers, employees, contractors, or other parties through automated systems.

SentinelOps Group does not guarantee SMS deliverability, email deliverability, call completion, caller response, or platform approval for messaging registration.

7. AI-Assisted Systems

Some services may involve AI-assisted tools, voice agents, chat agents, automated summaries, lead qualification, report generation, or similar technologies.

AI-assisted systems may produce incomplete, inaccurate, delayed, or unexpected outputs. Clients are responsible for reviewing, supervising, and validating AI-generated content before relying on it.

AI systems should not be used as the sole basis for legal, medical, financial, employment, security, emergency, or safety-critical decisions.

SentinelOps Group does not guarantee that AI-generated outputs will be error-free, complete, or suitable for every situation.

8. Payments and Fees

Fees for services will be described in proposals, invoices, order forms, or written agreements.

Unless otherwise stated in writing:

  • Setup fees are due before setup work begins

  • Monthly service fees are due in advance

  • Late payments may result in paused work, suspended support, or discontinued services

  • Fees paid for completed setup work are non-refundable

  • Subscription or retainer fees are non-refundable once the billing period begins

  • Client is responsible for third-party platform fees, software subscriptions, phone charges, messaging fees, usage charges, and other external costs

Specific payment terms may be modified by a separate written agreement.

9. Cancellations

Clients may cancel ongoing services according to the cancellation terms in their proposal, invoice, subscription agreement, or service agreement.

Cancellation of SentinelOps Group services does not automatically cancel third-party software subscriptions, phone numbers, messaging services, CRM accounts, or other external tools. The client remains responsible for managing and canceling third-party services as needed.

10. Intellectual Property

All website content, branding, copy, graphics, service descriptions, frameworks, workflows, templates, strategies, designs, documents, and related materials created by SentinelOps Group are owned by SentinelOps Group unless otherwise agreed in writing.

Clients may use deliverables created specifically for their business for internal business purposes after full payment has been received.

Unless otherwise agreed in writing, clients may not resell, redistribute, copy, sublicense, or commercially exploit SentinelOps Group materials, templates, workflows, documentation, or proprietary methods.

11. Confidentiality

During the course of providing services, SentinelOps Group may receive access to confidential business information, including client lists, operational processes, lead data, pricing, internal workflows, messages, reports, or business systems.

We will take reasonable steps to protect confidential information and use it only for the purpose of providing services.

Clients are also responsible for protecting login credentials, access permissions, customer information, and sensitive business data.

12. Data and Access Credentials

Clients may provide access to business systems, software accounts, CRM platforms, websites, phone systems, or other tools.

Clients are responsible for ensuring they have authority to provide such access. SentinelOps Group is not responsible for issues caused by inaccurate permissions, revoked access, platform restrictions, or unauthorized account sharing.

Clients should use secure password-sharing practices and may revoke access after services end.

13. Security and Availability

We use reasonable efforts to provide reliable services, but we do not guarantee uninterrupted operation, error-free systems, continuous availability, or complete protection from security incidents.

Technology systems may be affected by internet outages, third-party service issues, software bugs, cyberattacks, human error, carrier restrictions, or platform changes.

14. Limitation of Liability

To the fullest extent permitted by law, SentinelOps Group shall not be liable for indirect, incidental, consequential, special, punitive, or exemplary damages, including lost profits, lost revenue, lost business opportunities, lost data, reputational harm, or business interruption.

Our total liability for any claim related to our website or services shall not exceed the amount paid by the client to SentinelOps Group for the specific service giving rise to the claim during the three months before the claim arose.

15. Indemnification

You agree to indemnify and hold harmless SentinelOps Group, its owners, employees, contractors, affiliates, and representatives from any claims, damages, losses, liabilities, costs, or expenses arising from:

  • Your use or misuse of our website or services

Clients should consult qualified professionals regarding legal compliance, licensing, tax matters, employment classifications, insurance, data privacy, and industry regulations.
